How do I set up integrations?

This guide will include both how to configure an integration for your employee data.

Why do I need to do this?

This integration means that your employees' details including email address are automatically synced with our system, regardless of whether you use Google, Microsoft or another provider. This eliminates manual work and ensures scalable and automated updating of new and active/inactive users.

Note before you integrate

If you have been setting elements around the platform beforehand; make sure you do not have any Automation sequence or phishing Simulations active before you import your AD. If you do, campaigns will be sent out once the employee data is imported. 

You can simply pause or delete these before doing the Integration setup.

How do I configure an integration to sync employee data?

1. Press “Settings” on the left panel.

2. Scroll down to Verified domains. Confirm your company domain is listed and add any additional domain as applicable. You will need to click verify to confirm it. This will go to your admin email address (check your spam folder too).


3. Click into “Integrations” on the left and press the Connect button for the provider you are using. Note: You will need global admin access to give Moxso read access.

4. Check whether your employees are integrated under User management on the left. If any users listed are not relevant for the Moxso platform, for example admin or support accounts, you can deactivate them by selecting the checkbox and pressing deactivate user at the bottom. 

This is not a necessary step, so if you have many of those you can also target the Phishing simulations and Training to specific groups in later steps. 



A few important settings to configure

1. Click into the cog on the right of the applicable integration.

2. Enable synchronization to keep your data up to date with your AD.

3. Pick a cadence for the automatic sync. 

4. Decide if you want to sync groups and managers to add more details to the data.

Recommendations

  • Have one group in your AD that includes all employees you will want to target, and importing that specific group. That will simplify the creation of Simulations and Training as you will be able to select that group directly. 
  • Make sure that in the future new employees are always added to the AD group(s) you added to Moxso. 
  • Ensure that the language of your employees in your AD is correct so that the correct language comes through to Moxso in the integration. This will mean that employees receive emails and training in the correct language.

5. Press the offboarding toggle if you want to automatically disable offboarded employees from the Moxso data.

6. Toggle the General and role-based email filtering if you would like our system to filter out emails that are identified as shared inboxes such as admin, support, etc

Tip: if you enable this and find that employees are missing, it could be their email address was identified mistakenly as a shared inbox. In that case, disable this to have those emails synced.

 

Troubleshooting

Make sure that when you import a group from your AD, the correct group is being synced into Moxso. You can confirm this by referring to the provider ID.
